How to Calculate Freelance Project Profit

Project profit is simple in concept:

  1. Project Revenue – total client payment
  2. Total Project Costs – sum of all direct expenses (contractors, software, platform fees, payment fees, other expenses)
  3. Gross Project Profit = Revenue − Total Costs
  4. Profit Margin = (Profit / Revenue) × 100
  5. Effective Hourly Rate = Profit / Total Hours Worked

This gives you a clear picture of what you’re actually earning, not just the project price.

How to Understand Your Freelance Profit Margin

Profit margin shows how much of the project revenue remains after covering direct project costs. For example, if you earn $4,000 on a $5,000 project, your margin is 80%.

This calculator’s margin is based only on the costs you enter. It does not include general overhead like rent or utilities unless you include them in the “Other expenses” field.

Why Effective Hourly Rate Matters

A project with a high price can still have a low effective hourly rate if it takes too many hours. This is why tracking total hours is critical.

Effective Hourly Rate = Project Profit ÷ Total Hours Worked

Include all time spent: meetings, emails, revisions, project management, admin, and actual production work.
